A Ruby alternative for trades businesses — with the real numbers
Ruby is a good service. Real receptionists, 24/7, bilingual, no setup fees — they've been doing this for two decades and it shows. The reason contractors go looking for an alternative is almost never the answering. It's the meter.
The short version
Ruby bills you for receptionist minutes that expire if you don't use them, and costs the most in the month you're busiest. We charge one flat price — $697 for a real person answering your phone — and include booking the job, chasing your quotes and asking for reviews, which Ruby doesn't do at any plan level. What Ruby does that we don't: 24/7 and bilingual. If you need those, stay with Ruby.
What Ruby actually costs
Ruby sells minutes, not calls: $250 for 50 a month, $395 for 100, $720 for 200 and $1,725 for 500. Three details do most of the damage for a trades business. Minutes are billed in 30-second blocks rounded up. Unused minutes don't roll over — buy 200, use 150, and the other 50 are simply gone. And the meter can't tell a customer from a robocall, so the supplier chasing an invoice and the extended-warranty scam bill exactly like a homeowner with a burst pipe.
A typical answered trades call runs about two and a half minutes — name, number, address, what's wrong. Here's what that means at three volumes, using Ruby's published plans:
| Your month | Minutes | Ruby | FiveFlow Front Desk |
|---|---|---|---|
| Quiet — 40 answered calls | ~100 min | $395 | $697 |
| Typical — 80 answered calls | ~200 min | $720 | $697 |
| Flat out — 150 answered calls | ~375 min | $1,725 | $697 |
Ruby list prices from their pricing page, checked 2 August 2026. Minutes estimated at 2.5 per answered call — if your calls run longer, Ruby's column goes up and ours doesn't.
Where Ruby wins, plainly
We're not going to pretend this is one-sided. In a quiet month Ruby is cheaper than us — $395 against $697 at around 40 calls — and if your volume is genuinely low and predictable, that's the better buy. Ruby answers 24/7; our people work 8am–6pm your local time. Ruby's receptionists are bilingual; ours aren't yet. If a Spanish-speaking customer or a 2am pickup is a normal part of your week, those are real advantages and you should weigh them above the price.
Where we win
The price stops moving. $697 in your quietest month and your busiest one. No minutes to run out of, no overage, and nothing expiring at month end because you had a slow fortnight.
The job gets booked, not relayed. This is the bigger difference. Ruby takes a message and sends it to you — which means the customer is still waiting, and you still have to call back. Our person books it into your calendar on the call, drafts the quote for you to approve, chases it if it goes quiet, and asks for the Google review after. That's not an add-on tier; it's what the plan is.
Nothing reaches voicemail. Outside our answering hours, or when two calls land at once, the caller gets a text back in your business name in about ten seconds and their reply goes to your phone. A metered service that's out of minutes or off shift sends that same caller to voicemail, which is where most of them hang up and dial the next contractor.

You may not need the phone answered at all
Worth checking before you spend $697 with us or $720 with Ruby. Pull your missed-call log and ask how many of those callers actually needed a human voice, versus how many just wanted to book or get a quote. If it's mostly the second kind, our $297 Recovery plan texts them back instantly and puts the conversation on your phone — no receptionist involved, for less than Ruby's smallest plan but one. At $497 a real person runs those text conversations for you. Front Desk at $697 is only worth it if you specifically want the phone picked up live.
Try it without cancelling anything
Call (866) 903-9906, hang up, and watch your phone — that's the twenty-second version. Then the $99 pilot runs on your real line for 30 days, alongside whatever you're using now: recover 3 qualified missed-call inquiries or the $99 comes back. Ruby is month-to-month, so there's nothing to break by testing both.
Common questions
How much does Ruby cost?
Ruby sells receptionist minutes, not calls: $250/month for 50 minutes, $395 for 100, $720 for 200 and $1,725 for 500. Minutes are billed in 30-second increments rounded up, unused minutes don't roll over, and going past your plan costs roughly $3.30–$5.40 a minute depending which plan you're on. At about 2.5 minutes for a typical trades call, the 200-minute plan works out near $9 per answered call.
Why do people look for a Ruby alternative?
Almost always the meter. The bill is highest in your busiest month, unused minutes vanish at month end, and every robocall, supplier and wrong number burns the same minutes a real customer does. The second reason is scope: Ruby answers and relays, but doesn't book the job, chase your quotes or ask for reviews — so the work still lands back on you.
Is Ruby better than FiveFlow?
For some businesses, honestly yes. Ruby answers 24/7 with bilingual receptionists — we answer 8am–6pm in English, with an instant text-back covering everything else. If round-the-clock human pickup or Spanish-speaking callers are core to your business, Ruby does something we don't, and no amount of price comparison changes that.
What does switching involve?
Nothing changes about your business number — customers keep calling the same line. We set up the forwarding and the text-back behind it, which takes about a day. Ruby is month-to-month, so most people run the $99 pilot alongside their existing service for 30 days and only cancel once they can see it working.
